2. What Personal Data We Collect
When you register for an NQAIC event, we collect:
- Full name
- Email address
- Job title / position
- Employer or institutional affiliation
- Motivation for attending and background summary (free-text)
- Interest in presenting at future events (optional)
If events are recorded or photographed, image and voice data may also be captured, as described in the Media Notice on the Registration page.
3. Why We Collect It and Our Legal Basis
3a. Event access and administration
Legal basis: Article 6(1)(b) GDPR — necessary for the performance of a contract (your event registration).
We use your name and affiliation to verify your registration and provide your details to the venue host (e.g. AWS) solely for the purpose of granting you access to the facility. We also use your email address to send you event confirmations and updates.
3b. Community building (background and motivation questions)
Legal basis: Article 6(1)(a) GDPR — your consent, freely given when completing the registration form.
Your responses to the motivation, background, and future-participation questions help us understand our community and plan relevant programming. Providing this information is optional. You may withdraw consent at any time by contacting us.
3c. Event recordings and photography
Legal basis: Article 6(1)(a) GDPR — consent given by attending the event after being notified of recording.
We notify all attendees before events that recording or photography may occur. Published materials support NQAIC's mission to document and grow the community.
4. Who We Share Your Data With
We share your registration details (name and affiliation) with the event venue host (e.g. AWS) for the sole purpose of access control. The venue host acts as a data processor under a Data Processing Agreement and is not permitted to use your data for any other purpose.
AWS participates in the EU–US Data Privacy Framework, which provides an adequate level of protection for personal data transferred to the United States, in compliance with GDPR Chapter V.
We do not sell your personal data. We do not share it with any other third parties except as required by law.
5. How Long We Keep Your Data
- Registration data (name, email, affiliation): deleted within 90 days after the event, unless you have signed up for ongoing community communications.
- Motivation and background responses: retained for up to 12 months to assist community planning, then deleted.
- Event recordings and photographs: retained for as long as they remain relevant to the NQAIC community archive. You may request removal of identifiable content at any time.
6. Your Rights
Under the GDPR, you have the right to:
- Access the personal data we hold about you
- Correct inaccurate or incomplete data
- Request deletion of your data ("right to be forgotten")
- Withdraw consent at any time, without affecting the lawfulness of prior processing
- Object to or restrict certain processing
- Lodge a complaint with the Norwegian Data Protection Authority (Datatilsynet) at datatilsynet.no

7. Cookies and Third-Party Services
This website uses Google Forms (operated by Google LLC) for event registration. Google's own privacy policy applies to data processed through Google's services. We encourage you to review it at policies.google.com/privacy.
If we use any analytics or tracking tools on nqaic.com, these will be disclosed here in accordance with the Swedish Electronic Communications Act (LEK) and the ePrivacy Directive.
8. Changes to This Policy
We may update this Privacy Policy from time to time. The date of the most recent revision will be shown below. Continued use of our website or registration for events following an update constitutes acceptance of the revised policy.
